What is auto-classification?

Auto-classification is the use of rules and/or machine learning to assign records to the right category in a file plan — and therefore the right retention rule — without requiring a person to file each one by hand.

Why it exists

The hardest problem in records management has never been storing records; it’s getting them into management in the first place. For decades that meant asking employees to file their own records, which failed at scale: misfiled records, inconsistent retention, and records that were never declared at all. Auto-classification addresses this directly by letting the system do the filing.

How it works

Approaches range from simple to sophisticated, often combined:

• Rule-based — patterns like keywords, document type, or the originating system assign categories deterministically.
• Machine-learning — trained on examples of correctly classified records, the system categorizes new ones by similarity, handling material rigid rules miss.
• Hybrid — confident rules first, with ML (or human review) for ambiguous cases.

Why it matters

• Better capture — far more records actually come under management.
• Consistency — the same rules apply every time, which is essential for defensible disposition.
• Less burden — employees are freed from filing decisions they were never reliable at.

Getting it right

Auto-classification isn’t “set and forget.” It needs a clear file plan and retention schedule to classify into, periodic accuracy checks, and confidence thresholds that route uncertain items to human review rather than misfiling them. Done well, it turns records capture from an unreliable manual chore into a consistent, scalable process — which is what makes managing records across a large modern organization feasible at all.
