What is the difference between ECM and records management?
Enterprise content management (ECM) and records management overlap heavily, and many platforms combine them — but they have different scopes and priorities.
ECM: managing all content
ECM is the broad practice (and the software category) for capturing, storing, managing, and delivering an organization’s content — documents, images, web content, and other unstructured information — primarily to support productivity and collaboration. Its concerns are things like capture, version control, workflow, search, and delivery. ECM treats content as an asset to be used.
Records management: governing the records subset
Records management focuses specifically on the content that are records — information that must be kept as evidence of activities and obligations. Its priorities are integrity, retention, defensible disposition, and compliance. Records management treats records as something to be controlled and accounted for, not just used.
How they relate
Think of records management as a discipline that applies to the records within the broader universe of content that ECM manages. A piece of content may live in an ECM system for everyday work and then, when it documents something the organization must account for, be declared a record and brought under records-management controls (retention, holds, audit, disposition).
Why platforms combine them
Because the same content often needs both treatments over its life, modern systems frequently provide ECM and records management together — letting content flow from active use into governed recordkeeping without leaving the platform. The key capability is that transition: recognizing when content has become a record and applying the right rules from that point.
