How do I capture WhatsApp messages as business records?
WhatsApp messages can absolutely be business records. The deciding factor is not the platform but the content: if a message documents a decision, transaction, obligation, or activity conducted in the course of business, it should be managed as a record regardless of where it lives. Capturing these messages well requires a mix of policy, process, and the right technical approach.
Decide what counts as a record
Start with a clear policy on whether WhatsApp is even permitted for business communication. Many organizations restrict it precisely because it is hard to capture. If it is allowed, define which conversations qualify as records (project decisions, approvals, client commitments) versus transitory chatter. Apply the same retention schedule you would use for email or other messaging.
Capture content and context together
A useful record is more than the message text. To remain authentic and reliable, a capture should preserve:
- The full message content, including any attachments, images, voice notes, or links
- Participant identities and phone numbers
- Timestamps and the conversation thread sequence
- Edits, deletions, and read status where available
Capturing this context is what makes the record trustworthy and usable later for audits, FOIA-type requests, or litigation.
Choose a defensible capture method
There are a few common approaches, in rough order of reliability:
- Automated capture through enterprise messaging governance that journals messages into a managed repository. This is the most complete and consistent method.
- Official data exports, where the platform’s export function is used to produce a copy that is then filed into your recordkeeping system.
- Manual capture (screenshots or copied text) only as a last resort. It is error-prone, easy to manipulate, and weak on metadata.
Whatever the method, the goal is a complete, tamper-evident copy filed promptly, not days later from memory.
Govern, retain, and dispose
Once captured, manage these records like any other: classify them, apply retention and legal holds, control access, and dispose of them on schedule. Train staff so they know which conversations to preserve and never to delete content under hold.
