What is a records inventory?
A records inventory is a systematic survey that identifies and describes the records an organization holds. It answers the basic questions you must answer before you can manage anything: What records do we have? Where are they? In what format and volume? Who is responsible for them?
What it captures
For each records series (a group of related records used and filed together), an inventory typically documents the title and description, the responsible office, the format and location (paper, shared drives, email, databases, cloud systems), the volume and rate of accumulation, the date range, any existing legal or retention requirements, and whether the records are vital or contain sensitive information such as PII.
Why it matters
The inventory is the foundation of a retention schedule. You cannot appraise the value of records, assign retention periods, or dispose of records defensibly without first knowing what you have. It feeds appraisal — the judgment of each series’ value — which in turn drives the retention and disposition decisions in the schedule.
Side benefits
Conducting an inventory almost always surfaces useful surprises: duplicate holdings, unmanaged shared drives, records kept long past any requirement, and personal data sitting in unexpected places. It therefore supports not just retention but also privacy compliance, e-discovery readiness, storage cost reduction, and planning for system migrations.
Keep it current
An inventory is a snapshot, and organizations change constantly. The best programs treat it as a living document, refreshed periodically rather than completed once and forgotten. A current inventory is one of the most valuable assets a records program can maintain — it is the map of everything the organization holds.
